Minor Works and Trades Reporting Changes

The FM, Property and Business Services Category team have made some important changes to the reporting of any contracts let under our Minor Works and Trades Dynamic Purchasing System DPS.

The Public Contracts Regulations 2015 state it is a requirement to inform the Central Purchasing Body of all contracts awarded following a Stage 2 call-off process conducted under the NOE CPC Minor Works and Trades DPS, in line with the Authority’s obligation under Regulation 50(5).

The existing process, as you will be aware, is that NOE CPC issue a template spreadsheet for completion to customers who have accessed the search facility within the MW&T Fileshare area of the NOE CPC website, on a quarterly basis.

This template is completed by the Customer either completing the relevant call off contract information OR indicating that no contract awards have been made using the DPS.

Following stakeholder feedback and consultation with our Customers, this process has now been amended and a new reporting template is available within the Fileshare area of the NOE CPC website located in Folder 4 Stage 2 – Contract Award (obligations under PCR 2015) (Minor Works and Trades DPS).

To support the process, customer feedback indicated that the preference would be to complete the template as part of the tender process on award whilst data is readily available, rather than waiting for the email request from NOE CPC, which could potentially be up to 3 months post award. If you wish to follow this approach the template can be completed and returned to mwdps@noecpc.nhs.uk.

Please note that it is the responsibility of the contracting authority to publish an award notice in Contracts Finder, in line with the requirements set out in Regulation 112(1) of the PCR 2015.
